Dissertation Defense Appeal: Grounds, Deadlines and Real Policies

What a dissertation defense appeal can and cannot do, with grounds, deadlines and steps from Cornell, Michigan, UW-Madison and the University of Washington.

A dissertation defense appeal asks your graduate school to review a failed or disputed defense. At the four universities in this guide, it works only on narrow grounds such as a procedural error or a policy violation that affected the result. Your committee’s view of the quality of your research is not something the appeal panel will re-decide.

The rules sit in each graduate school’s own policy, and the deadlines are short: 14 calendar days at one school, 10 business days at another. Below are the real procedures at Cornell University, the University of Michigan, the University of Wisconsin–Madison and the University of Washington. Your school’s policy will differ, so open it next to this page.

How a dissertation defense appeal works at four graduate schools

Each school has a ladder that climbs from your program or committee to a review above it, ending with a dean or a graduate school body. Only the details change.

Cornell. If your special committee unanimously fails you and denies a re-examination, you may request a review “only if” you can show “a policy violation or procedural error” that materially affected the outcome. You email the Graduate School dean first, then file a petition if the dean agrees a review is warranted, according to Cornell’s Taking Exams page. Cornell’s separate grievance procedure excludes “Appeal of academic decisions such as decisions made by graduate faculty”.

Michigan. Rackham’s Academic Dispute Resolution Policy covers disputes about “the equity and fairness of decisions or procedures that affect their academic standing.” You can start informally with the Rackham Resolution Officer. A formal written complaint of no more than two pages is due within 10 business days of the program’s written decision, and the dean’s decision “ends the Rackham Resolution process.”

UW–Madison. Appeals go from the program to the school or college, and final appeals go to the Graduate School. The Graduate School policy accepts two grounds: a procedural error that “substantially affected the fairness or outcome”, or a record that does not support the school or college decision. You file within 14 calendar days, and “The dean will issue the final decision in writing.”

University of Washington. Policy 3.8 covers students who believe they faced “unfair treatment in the administration of academic policies”. It starts with informal conciliation, then a school or college Student Academic Grievance Committee. You can appeal to the Graduate School within 15 business days of the end of that process.

Ask about a second defense before you appeal

At two of these schools, a failed defense can lead to a second attempt without any appeal. Ask about that route first, because it keeps the decision with people who know your work.

Cornell says “a reexamination is allowed only with the approval of the special committee”, and at least three months must pass between the failed exam and the re-examination. If committee members disagree about re-examination, the member who disagrees must inform the Graduate School dean by email. At the University of Washington, after an unsatisfactory final examination a supervisory committee “may recommend that the Dean of the Graduate School permit a second examination” after further study, according to its dissertation defense guidance.

A conditional pass is not a failure. Cornell lists conditions that, once met, mean you pass. Our guides to dissertation defense outcomes and dissertation defense revisions cover those results.

What you can and cannot appeal

You can appeal how the decision was made. You cannot appeal the committee’s expert view of your work, which US policies call academic judgment or academic decisions.

The policies give you concrete rules to test against. The University of Washington requires that “At least four members of a supervisory committee” be present at the final exam. Rackham lets a committee member who did not receive the dissertation at least 10 working days before the defense ask for a postponement, under section 4.4.8.

The table below is an illustration of how to sort your reasons. Each row shows a complaint as a student might phrase it and what a panel would need to see.

What you might want to sayLikely categoryWhat you would need to show
“My committee was wrong about my findings.”Academic decisionNothing appealable on this alone

“The defense went ahead though a member had not received the dissertation in time.”ProcedureDates the dissertation was sent and received

Timeline and evidence checklist

Start the day you get the result. At UW–Madison you have 14 calendar days after the school or college decision, and at Rackham you have 10 business days after the program’s written decision.

Collect this evidence in one folder. Add each item as soon as you have it.

  • The written outcome and the date it reached you.
  • The graduate school policy and your program handbook as they stood on the day of the defense.
  • Emails about scheduling, committee membership and when you sent the dissertation.
  • Your own notes from the defense, written the same day: who attended, how long it ran, and the questions you remember.
  • Any written comments or conditions from the committee.
  • Evidence of any accommodation you had, and whether it was provided.
  • A one-page timeline in date order.

A two-page appeal template

Rackham caps the formal complaint at two pages, and that is a sensible limit anywhere. This is a fill-in template with placeholders, not a model of a real case.

Policy and section: [Graduate school policy name, section number, year].

Decision: [Outcome] communicated on [date] by [role, for example the committee chair].

What the policy requires: [Quote the rule in one or two lines].

What happened: [The specific event, with dates].

Why it mattered: [How the event affected the outcome or the fairness of the process].

Evidence attached: [List each document with its date].

Remedy requested: [For example, a new defense with a properly constituted committee].

Leave out arguments that your committee misread your research. A panel cannot rule on them, and they can bury the procedural point that might succeed.

Who to talk to before you file

Three of the policies here start with an informal step, so use it where it exists. It costs nothing and can clarify what the formal route will accept.

At Michigan, you can send a summary to the Rackham Resolution Officer. At the University of Washington, informal conciliation can involve departmental staff or the Office of the University Ombud. Cornell’s grievance procedure starts with contacting the person involved, then a letter to the director of graduate studies.

If you study in Canada, where the word is spelled “defence”, search your graduate school’s policies with that spelling too. For a UK-style viva, where the ombudsman routes differ, see our guide to the viva voce appeal process. If you are still weighing your chances, our guide on whether you can fail your dissertation defense explains how failure happens.

What Thesisroom does with this

Thesisroom does not handle appeals or give advice on them. Your graduate school, your advisor and the offices named above are the right places for that.

If you are preparing for a second defense, Defense Practice writes questions a committee could ask, each tied to a specific passage of your own dissertation, and you can answer in writing or out loud. Argument Map lays out the claims and definitions across your dissertation and flags contradictions before you revise.

Frequently asked questions

Can you appeal a failed dissertation defense?

Yes, but only on the grounds your graduate school lists. At Cornell, a review after a unanimous fail needs evidence of a policy violation or procedural error. At UW–Madison, the grounds are procedural error or a record that does not support the decision.

Can I appeal because I disagree with my committee?

Not on that basis alone. Cornell’s grievance procedure excludes appeals of academic decisions made by graduate faculty. Panels look at whether the process was fair and followed policy. They do not re-decide whether your research meets the standard.

How long do I have to file a dissertation defense appeal?

It depends on your school. Rackham allows 10 business days after the program’s written decision for a formal complaint. UW–Madison allows 14 calendar days after the school or college decision. The University of Washington allows 15 business days after the college process ends.

Is a second defense possible without an appeal?

At some schools, yes. Cornell allows a re-examination with special committee approval, at least three months after the failed exam. At the University of Washington, the committee can recommend that the Dean permit a second examination after further study.

Who makes the final decision on an appeal?

At each school here, a dean or a graduate school body decides, as its policy sets out. At UW–Madison the dean issues the final decision in writing. At Rackham the dean’s decision ends the process. At Cornell the General Committee decides whether a student may continue.

Should I talk to someone before filing?

Yes, where your school offers it. Three policies here have an informal first step: the Rackham Resolution Officer at Michigan, informal conciliation or the University Ombud at Washington, and a direct conversation then a letter to the director of graduate studies at Cornell.
