How Long Is a PhD Thesis: Word Limits From Real Regulations

PhD word limits from named university regulations, what counts toward them (footnotes, abstract, appendices), what happens if you go over, and a word budget you can adapt.

How long is a PhD thesis? At the universities checked for this guide, the word ceiling is 80,000 at Warwick and in Cambridge Geography, and 100,000 at Edinburgh. Some departments set a page limit instead, and Cornell’s Graduate School guidance sets no overall length. Your own regulations decide the number, and they also decide what counts toward it.

That second point is where candidates lose marks or weeks. Footnotes count at Edinburgh and do not count at Warwick. An abstract counts in Cambridge Geography and does not count at Edinburgh. Below are the real rules, side by side, then a five-step check you can run on your own thesis today.

How long is a PhD thesis at named universities

The limit is set by your university, and sometimes by your department or programme. This table uses each institution’s own wording.

University or departmentPhD length ruleSource
University of WarwickNot more than 80,000 words, excluding appendices, footnotes, tables and bibliographyWarwick, Guide to examinations for higher degrees by research
University of Cambridge, Department of GeographyNot more than 80,000 words without prior permission, including the summaryCambridge, Rules and Regulations for PhD
University of Cambridge, Department of Earth SciencesNot more than 275 numbered pages, of which not more than 225 are text, appendices, illustrations and bibliographyCambridge, Rules and Regulations for PhD
University of EdinburghNot more than 100,000 words, with no minimumEdinburgh, Postgraduate Degree Regulations 2026/27, regulation 48
University of Melbourne, PhD in Medicine, Dentistry and Health SciencesA normal length of 80,000 to 100,000 words, excluding tables, maps, bibliographies and appendicesMelbourne Handbook 2026, course 551AA
Harvard University, South Asian StudiesShould not exceed 75,000 words or 300 pagesHarvard South Asian Studies, PhD requirements
Cornell University Graduate SchoolNo overall length requirement in its writing guidance, which says its suggestions are not requirements for submissionCornell Graduate School, Required sections, guidelines and suggestions

Two things stand out. The UK rules here are ceilings, not targets, and Melbourne gives a normal range. And the US examples come from a department and a graduate school guide, so check your programme handbook as well as the graduate school’s rules.

What counts toward the word limit

The same 80,000 words can mean different things. What your rule includes matters as much as the number.

Read the cells marked “not listed as excluded” as a question for your graduate office, not as a yes. At Warwick, a PhD’s appendices are limited to 5,000 words in total unless the Academic Director agrees otherwise, and they may not hold material that is an essential part of the thesis.

Edinburgh’s rule counts front matter explicitly. Its count includes “preface material”, which it lists as the table of contents, acknowledgements, list of abbreviations and list of illustrations, along with footnotes and references.

What happens if your thesis is over the limit

At the universities checked here, an over-length thesis can be held back from examination. Ask for permission before you submit, not after.

  • Warwick: a thesis over the limit “may not be accepted for examination”. You send a statement explaining why, supported by your supervisor, through the Doctoral College form for the Academic Director. Even with approval, examiners may still recommend cutting it.
  • Cambridge (Geography and Earth Sciences): a thesis that exceeds the limit “may not be examined until its length complies”. The Degree Committee can decline a submission that breaks its limits.
  • Edinburgh: the College can allow a longer thesis in exceptional circumstances, on your supervisor’s recommendation. The humanities and social science submission guide says the concession must be approved before submission.

If you are over, cutting is usually faster than a request. Move long data tables to an appendix only where your rule excludes appendices and the material is not essential to the argument.

Is there a minimum length for a PhD thesis

Some universities say plainly that there is not. Edinburgh’s regulation 48 states “There is no minimum word count.”

A short thesis still has to meet the criteria for the degree. If yours is well under the usual range in your department, ask your supervisor which criterion a reader might question, then check that the thesis answers it. A self-review in the examiner’s order is a good way to see thin chapters.

Words or pages: which unit your rule uses

Some rules count pages, and a page limit is not a word limit in disguise. Cambridge Earth Sciences counts numbered pages and lets an extra 50 pages hold data tables or computer programmes reduced in size. Harvard South Asian Studies gives both a word and a page ceiling.

Do not convert one unit into the other with a rule of thumb. Font, spacing, figures and tables change the ratio. Format the thesis to your university’s template first, then measure in the unit your rule names.

How to check your own thesis length in five steps

  1. Find the central rule. Search your university’s research degree regulations for “word limit” or “length”. Note the regulation number and the year of the version.
  2. Find the local rule. Read your department or programme handbook. Departments can set lower or different limits, as Cambridge’s do.
  3. List what counts. Copy the inclusion and exclusion list into a note: footnotes, references, tables, captions, abstract, front matter, appendices. Mark anything the rule does not mention and ask your graduate office about it.
  4. Count only what counts. Count each included part separately and add them up, rather than counting the whole file. Keep the figure, because some universities ask you to confirm the word count on submission, as Edinburgh’s guide does.
  5. Decide early if you are over. If the total is above the limit, decide between cutting and a permission request weeks before your submission date. Cambridge and Edinburgh want permission before submission, and Warwick usually expects the request before submission too.

A word budget you can adapt

A budget stops one chapter from eating the others. Here is an example split for an 80,000-word limit. It is arithmetic to adapt, not a rule from any university.

PartExample budgetShare
Introduction8,00010%
Literature review14,00017.5%
Methodology10,00012.5%
Findings chapters (three)30,00037.5%
Discussion12,00015%
Conclusion6,0007.5%
Total80,000100%

Change the split to match how your thesis is built. A thesis with a theory chapter, or one built from papers, will look different, and the guide to how a PhD thesis is structured shows the common shapes. Plan to finish a little under the ceiling, so corrections after the viva or defence do not push you over.

Limits for MPhil and other research degrees

Other research degrees usually have their own, lower limits. At Warwick, an MPhil thesis may not exceed 60,000 words and a master’s by research thesis 40,000 words, on the same exclusions as the PhD. A PhD by published work at Warwick has a covering document of 5,000 to 10,000 words.

If you are moving between levels, the comparison of a master’s viva and a PhD viva sets out what else changes besides length. Length also says nothing about the reference list: for that, see how many references a thesis should have.

What Thesisroom does with this

Thesisroom’s Structure check compares your thesis’s word count with a limit you set, alongside chapter numbering, figure and table references and the contents page. It counts what is written in your text. Which parts count toward your limit is set by your own regulations, so read them first. The checks are described on the rooms page.

Frequently asked questions

How many pages is a PhD thesis? It depends on whether your rule counts pages or words. Cambridge Earth Sciences allows 275 numbered pages, and Harvard South Asian Studies sets 75,000 words or 300 pages. Where the rule is in words, format to your template and measure words, not pages.
Does the bibliography count toward the PhD word limit? Not under the word limits checked here. Warwick, Edinburgh, Cambridge Geography and Melbourne’s health sciences PhD all leave the bibliography out of the count. The page limit in Cambridge Earth Sciences does include it.
Do footnotes count toward the word limit? It varies. Footnotes count at Edinburgh, do not count at Warwick, and do not count in Cambridge Geography where they are a necessary part of the referencing system. Find the exact wording in your own rule before you move text into footnotes.
Does the abstract count toward the word limit? At Edinburgh the abstract and lay summary do not count. In Cambridge Geography the summary does count. If your rule is silent, ask your graduate office.
Can a PhD thesis be shorter than the limit? Yes. A word limit is a ceiling, and Edinburgh states that there is no minimum word count. A shorter thesis still has to meet the criteria for the degree, so check it against them with your supervisor.
How long is an MPhil thesis? At Warwick an MPhil thesis may not exceed 60,000 words, excluding appendices, footnotes, tables and bibliography. Other universities set their own limits, so read your regulations.
